Short answer
For a wedding or event, group passengers by confirmed flight, arrival time and destination before requesting vehicles. Send luggage and child-seat needs for each group. Airport pickups, ceremony shuttles and late-night returns are separate services and should each have an agreed schedule and quote.
Build a transport list that dispatch can use
For each arrival, record the local date, flight number, lead passenger, reachable phone, people, bags and hotel. Identify children needing seats and any mobility or oversized-luggage requirements. Avoid sending passport copies or unrelated guest information when coordination details are sufficient.
Nominate one person to approve changes and keep the list current. Forward each group's final meeting instructions to its lead passenger. A wedding organiser having the confirmation is not enough if the arriving guests cannot find the contact or know which vehicle they should take.
Decide how separate flights will be handled
Combining two flights in one vehicle requires an explicit waiting plan. A delayed flight can leave the first group waiting, while passengers from the same flight may exit at different times. Ask for separate pickups when flexibility is more important than consolidating the vehicle.
Confirm actual luggage capacity rather than allocating every available seat. Formal clothing, decorations and equipment may need extra space. A passenger count alone is not enough for the dispatcher to choose a suitable group arrangement.
Book the event return and airport departures separately
For a ceremony or party shuttle, list each venue, loading point, pickup window and number of runs. Agree how a late finish or extra trip would be handled. Do not assume an airport transfer reserves a driver for the evening.
For guests flying home, calculate pickup from each airline's required airport-arrival time. Guests leaving on different flights may need different vehicles. Reconfirm the schedule after final flight changes rather than reusing the first guest list unchanged.
