Short answer
Published VIP prices are per vehicle for 1–6 passengers within a suitable vehicle arrangement. On eligible local routes, a 7–14-passenger van adds $40 VIP. Long-distance vans need a separate quote. Luggage fit, child seats and separate flight arrivals must be confirmed.
Create one group manifest
Choose a booking contact who can provide the total headcount, including children, and a separate count of checked bags, cabin bags, strollers and bulky equipment. State whether everyone can travel in an ordinary passenger seat or whether special access is required. This is a vehicle-planning question, not a request for private medical records.
A photograph or measurements of an unusually large item can be more useful than calling it 'one bag'. Golf cases, surfboards and non-folding mobility equipment should be declared individually. Confirm that the selected arrangement carries the entire group and all equipment without relying on unused passenger seats.
Understand the local van supplement
The published local supplement is added to the chosen zone and product, not charged to every traveller. For Zona Colonial, the VIP one-way calculation is $79 + $40 = $119. Vehicle suitability still needs confirmation from the luggage and seat information.
For long-haul routes, request a written group quote instead of applying that local formula. Confirm whether the offer uses one van or several vehicles, whether the same arrangement applies to the return, and how any additional destination is priced.
Handle different flights explicitly
Send every arriving flight and date if members land separately. Decide whether the first arrivals will wait or travel independently. A vehicle booked around one flight is not automatically an open-ended pickup for later flights. Discuss the waiting arrangement and any charge before the group travels.
Nominate a meeting contact for each arriving party. If plans change, message the original booking conversation with the affected passengers and flight. Avoid sending conflicting instructions through several people; one shared written plan makes the final headcount much easier to verify.
Confirm loading and each drop-off
Provide each hotel, building or villa, including gate access. Ask whether a second stop lies in the same zone and whether it changes the quote. Give bags to the confirmed driver only after the vehicle and passenger list have been checked.
For departures, the group should be ready at the confirmed pickup point before loading begins. A large group leaving several rooms may need its own assembly time. Do not use the airline's departure time as the time to leave the hotel.
