Short answer
Send the number and dimensions of golf travel cases as well as passengers and suitcases when booking. Confirm the exact resort or clubhouse destination. A transfer reservation does not include a tee time, green fee or permission to enter a private course.
Count club cases separately from ordinary suitcases
Rigid golf cases take a different shape from soft travel bags. Give dispatch their dimensions or a clear photo alongside the number of suitcases. Four golfers with four cases and four checked bags may require a different vehicle from four passengers carrying only cabin luggage.
Ask dispatch to confirm the luggage arrangement before selecting a product purely by seat count. Check airline sports-equipment rules separately; acceptance by the airline does not establish road-vehicle capacity. Count and identify each case when loading and unloading.
Confirm the course booking and entrance
Use the actual course and clubhouse name rather than only the resort brand. Ask the course which entrance your vehicle should use and whether advance guest registration is needed. Forward the relevant access instructions to dispatch.
Course eligibility can be restricted. For example, Casa de Campo's official Teeth of the Dog page describes access for registered resort guests, villa owners, residents and their guests. Check your eligibility directly before paying for transport; being driven to the gate does not confer playing access.
Protect the tee time and organise the return
Give dispatch the time you need to be at the clubhouse, allowing for the course's check-in and preparation requirements before the tee time. A same-day flight arrival introduces baggage and delay uncertainty; avoid treating an optimistic landing-to-course estimate as a guarantee.
For a hotel-to-course trip, agree whether the driver waits or returns at a fixed time and how a long round changes the arrangement. If the next stop is the airport, include the flight deadline and all luggage in the quote. Course transport and airport transport should fit one explicit itinerary.
